Sian and Mads introducing: What I Wish More Nonprofits Knew About CiviCRM. Don't build your organisation around your CRM. Build the CRM around your organisation. 5 minute read.

Let’s be honest: CRM systems can have mixed reputations. For many of the nonprofits, membership orgs, and campaigners I work with, the words “CRM” bring to mind stress, spreadsheets, and software that never quite does what it says on the tin.

But here’s the thing: it doesn’t have to be like that.

CiviCRM is different. It’s not just another database — it’s a powerful, flexible, open-source system that’s been designed for nonprofits and charities, by people who understand what it means to work in the sector. And when it’s implemented well, it can genuinely transform the way your organisation operates.

So here’s my take on what CiviCRM is, what it can do — and what I think more people should know before they write it off as “too complex” or “not for us.”

Pooka’s TL;DR

  • CiviCRM is a CRM for charity teams, designed to manage events, donations, comms, and memberships — all in one place.
  • It’s open source and cost-effective — no license fees, and you own your data.
  • You don’t need to be techy — we build it around your needs and support you every step.
  • It saves time, reduces admin, and gives you confidence in your data and reporting.
  • If you’re juggling spreadsheets and disconnected tools, this might be your next best move.

CiviCRM is a toolkit, not a trap

One of the reasons I love working with CiviCRM is that it’s incredibly versatile. At its heart, it helps you manage your relationships — with donors, members, volunteers, service users, partners, or whoever matters to your organisation.

But more than that, it brings together all the bits that usually sit in separate systems:

  • Contact records (that actually mean something)
  • Event registrations (with smart rules and options)
  • Membership management (automated renewals, gift aid, segmentation)
  • Campaigns and donations (with real-time data and insights)
  • Email marketing (no need to switch to Mailchimp or juggle multiple lists)

And it does it all without locking you into a license or charging you per user. Because it’s open source, you own your system — and your data.

It’s not about being “techy”

One thing I say to every new client: you don’t need to come to us with the perfect spec. You don’t even need to know exactly what you want. What you do need to know is where the pain points are.

That’s where we start.

At Pooka, we work alongside you to figure out what’s not working, what would make your life easier, and what you’d love to be able to do — but haven’t had the capacity for. We build your CiviCRM setup around your team, not the other way around.

And once it’s up and running? You’re not left on your own. We’re here with training, support, advice, and the occasional digital pep talk.

Real-time data, without the drama

One of the biggest shifts people tell me they experience after using CiviCRM is confidence. Confidence that the data is accurate. That everyone’s working from the same page. That it’s not all held in someone’s head or hiding in an old Excel file.

You can track the impact of a campaign. Segment your comms. Apply member discounts to events without lifting a finger. See who donated last year, who unsubscribed, and who came to your last workshop — all at a glance. It’s that ability to see the whole story of someone’s relationship with your organisation that makes CiviCRM so powerful.

It’s not just the tech — it’s the people

I’ve worked in and with charities for over a decade. I know what it’s like to wear three hats and still be expected to run a fundraising appeal by Friday. That’s why I care so much about getting this right.

At Pooka, we don’t just set up CiviCRM — we help you embed it into your ways of working, train your team (without the jargon), and make sure it’s sustainable long after the first setup. We also care deeply about data privacy and security — and we’ll support you with that too, every step of the way.

Because at the end of the day, this isn’t about software. It’s about making life easier for the people doing the work that matters.

FAQs

1. What makes CiviCRM different from other CRM systems for charities?

CiviCRM is open source, which means no license fees and full control of your data. It’s designed specifically for non-profits, with built-in tools for events, memberships, fundraising, and comms — all in one system. That means less time juggling platforms, more time making impact.

2. Is CiviCRM hard to use if we’re not very technical?

Not at all. You don’t need to be a tech expert — just someone who knows where the pain points are. At Pooka, we help set it up around your workflow, provide hands-on training, and support you long after launch. No jargon. No overwhelm. Just useful tools, built for real teams.

3. How do I know if our charity is ready for a CRM?

If you’re using multiple spreadsheets, switching between Eventbrite, Mailchimp, and Google Docs, or struggling to get a clear picture of your supporters — you’re probably ready. A good CRM for charity work should save time, not create more admin. If you’re unsure, we’re happy to chat.
